THE ROLE

 More Than Just Reception: Are you passionate about customer service and building relationships? Do you have over 3 years of administration experience, ideally in NDIS or Healthcare/Medical? If yes, we invite you to consider the role of Client Care Coordinator at our practice.

As a Client Care Coordinator, you are the heart of our practice. Your vital role involves connecting with our clients, their families, and healthcare partners, ensuring they feel supported, understood, and on the path to achieving their goals. In a world that’s increasingly virtual, you’ll be part of our dynamic team, providing both virtual and in-clinic support as needed.

WHY YOUR ROLE MATTERS

In healthcare, growing specialist practices create growing administrative needs. You’ll be the face of our practice, providing compassionate reception support. You might find yourself multitasking, from handling the essentials to championing process improvement and reception efficiency, because when we work smarter internally, we help more people thrive externally.

YOUR RESPONSIBILITIES

  • Manage inbound and outbound referrals, acting as the first point of contact.
  • Coordinate client onboarding and clinician calendars.
  • Handle accounts receivable and assist with bookkeeping.
  • Provide marketing support as directed.
  • Proofread content and reports.
  • Establish and refine business SOPs.
  • Handle document processing and data entry.
  • Coordinate third-party quotes and scheduling.
  • Assist with desktop publishing tasks.
  • Collaborate closely with the Director.

DO YOU HAVE THESE SKILLS?

  • Experience with practice management software like Cliniko.
  • Proficiency in Google Workplace, Active Campaign, Cliniko, MYOB, or similar.
  • Excellent communication and customer service skills.
  • Ability to work autonomously.
  • Tech-savvy with a willingness to learn.
  • Understanding of Medicare, NDIS, and Health Fund billing, or the ability to learn quickly.

MUST-HAVES

  • Reliable internet, computer, and phone. Essentially, a home office workstation that is set up and ready to go!
  • National Police Check and NDIS Worker Screening Clearance (or the ability to acquire them).
